FAQ

Questions brokerages ask us first.

Data, security, onboarding, migration and pricing. Something missing? Ask the team.

The product

What is Valentry?

An operating system for South African insurance brokerages. Clients, policies, servicing cases, renewals, documents and FICA, POPIA and FAIS compliance run on one client record, under your brokerage's own name and address.

How is it different from a general CRM?

A general CRM is built around contacts and sales pipelines. Valentry is built around policies, product lines, service lines, renewals, compliance evidence and the advice trail a regulated brokerage has to keep.

Will our clients see the Valentry brand?

No. Each brokerage runs Valentry under its own name, colours and address. Your brokerage is the only brand your team and clients see.

Does the AI give advice to clients?

No. AI assists with reading documents and drafting analysis. An adviser or reviewer approves anything that reaches a client.

POPIA, data and security

Where is our client data stored?

Client records and documents are stored on Google Cloud in the africa-south1 region, in Johannesburg. The region is fixed, so client personal information stays in South Africa.

Who is responsible for client data under POPIA?

Your brokerage is the responsible party for its clients' personal information. Valentry processes it on your behalf as an operator, under a written agreement.

How is our data kept apart from other brokerages?

Separation is structural. Your brokerage is worked out on the server from the signed-in user's membership, every data access is scoped to one brokerage, every record is tagged with it, and direct browser access to the database is denied. Automated tests check that reads fail across the boundary.

How do you record consent?

Per client, per purpose, with its lawful basis. Withdrawals and changes are new entries that supersede the old; history is never edited.

What happens when someone leaves the team?

Suspend them and their sessions are revoked immediately. Sessions are checked on every request, so access ends now, not when a cookie expires.

Are documents ever public?

No. Documents sit under your brokerage's private storage and are only served through short-lived signed links, issued after the requester's brokerage is confirmed.

Getting started

How do we sign up?

Create your brokerage, verify your email, and we review and approve it. You then set up your console in a short wizard, choose a plan and start a 7-day free trial with R0 charged today. Your team signs in at your own address, yourbrokerage.valentry.co.za.

Why is there an approval step?

Valentry holds regulated client data, so we check every brokerage before it goes live.

How does my team sign in?

At your brokerage's own address. Team members are invited from the console and set their own password from the invitation email.

Moving from Zoho or another system

Can we bring our book from Zoho?

Yes. Export your Zoho CRM modules as CSV and import them. Valentry accepts any CSV, profiles each column and lets you map it to any field, or turn it into a custom field in one step.

What if our data is messy?

Expected. Every imported value keeps its original source value next to the normalised one. Blank compliance data imports as not assessed rather than failed, and documents without a client are kept in a data-quality queue instead of being dropped.

Can we test an import before committing?

Yes. Every import can run as a dry run that shows what would be created, updated, skipped or flagged, row by row. Re-running a file updates the records it created rather than duplicating them.

Pricing

How is Valentry priced?

Per adviser seat, billed monthly in South African rand. Your seat price is set by your brokerage's size band.

Are AI credits included?

Yes. Every adviser seat bundles an allowance of AI credits. Use beyond the allowance is billed as overage.

Is there a free tier?

No free plan. Every brokerage starts with a 7-day free trial: R0 today, and nothing is charged if you cancel before day 7. We are also glad to show you the product on a demo before you decide.

When is the first charge?

When the 7-day trial ends, then on the same date each month. Cancel under Settings, Subscription before the trial ends and nothing is ever charged.
